Gap And Fit Analysis And Enterprise Design Document In Implementing A ERP

During the implementation of a ERP in a organization there are some steps to be done before implementation that includes project initiation (requirement Gathering and meeting with stakeholders).In the second step the enterprise design document is created capturing all the screens of the ERP and a brief write-up on the description of the screens.

Critical to enterprise resource planning (ERP) implementation is the fit between the system and the processes in an organization. Knowledge about the ERP system must flow from those implementing the system and those responsible once in production. Effective knowledge transfer is assisted by the absorptive capacity of the learner and the competence of the knowledge holder, as reflected in the client and consultant relationship of this study. A model of transfer is composed from existing theories of learning to explain the roles played by the client through absorptive capacity and the consultant through competence.

An ERP system is an enterprise-wide and complicated system, requiring a certain level of competence or Capabilities to deal with the challenges imposed during the implementation process. As a result, organizations often seek the required expertise from external sources, such as consulting firms. Consultants are both knowledge providers and facilitators during the implementation. They help client organizations configure and derive value from an ERP package, providing both product knowledge and process guidance.

Enterprise design document has to be prepared carefully as in this document we are going to capture the gaps in the business process of the client which further become the gap & fit analysis document of the client.

In the implementation of any ERP the prime factor is the chart of accounts and the control settings, the chart of accounts codes vary from organization to organization but the account description and account heads remain more or less the same the account coding system for the company can vary depending on their style of numbering and then the settings in the ERP which are very important as these are the main controls of the ERP. Once the chart of accounts and opening balances for the customer are loaded in the ERP we can train the key users which the stakeholders decide on the transaction part and each screen in the ERP would be discussed elaborately with the management whether there is an addition of a field or a whole process like the production process in a manufacturing company has to be created as per the clients requirement.

Once during the training all the Gaps and Fits are captured the document gets processed by the software development department where the development of the gaps takes place which is further tested and implemented at the client site with a first phase of parallel run along with other existing systems and finally making the system live.
